1. About THW Retreats

THW Retreats is a trading name of Once upon a Peacock Ltd., based at Unit 20, 11 North Ave, Clydebank G81 2QP.

Email: hello@theholisticwarehouse.com

In these terms, “we”, “us” and “our” mean Once upon a Peacock Ltd. “You” means the person booking or attending a retreat.

These terms apply to retreat bookings made directly with us. Please read them alongside the retreat description and the booking information provided before you pay.

2. Your booking

Before booking, please check the retreat dates, accommodation, room arrangements, programme, price, payment schedule and cancellation terms.

A booking becomes confirmed when we accept it in writing and receive the payment required to secure your place. We will send you a booking confirmation that you can keep for your records.

Please check your confirmation and contact us promptly if any details are incorrect.

If you book for another person, you must have their permission and ensure they receive these terms and the relevant retreat information. Each guest must provide their own agreement to any health information or photography consent requested.

Any special requirements we agree to meet will be recorded in your booking confirmation.

3. Prices and payment

Prices are stated in pounds sterling unless otherwise specified. Before you book, we will explain the total price, applicable taxes and any additional charges.

A £500 deposit secures your place, and the remaining balance can be paid in instalments. Full payment is due no later than two months before the retreat begins.

The deposit forms part of the total retreat price. Any amount retained following cancellation is subject to section 6.

Once your booking is confirmed, we will not increase the agreed retreat price.

If a payment is overdue, we will contact you and give you a reasonable opportunity to pay. If payment remains outstanding, we may cancel your booking after written notice. Any cancellation charge must be reasonable and justifiable.

4. What your retreat includes

Your retreat description and booking confirmation set out the accommodation, meals, classes, excursions and other services included in your booking.

Flights, airport transfers, travel insurance, visas, personal purchases and optional activities are excluded unless expressly listed as included.

Accommodation is provided in the room type you book. If you book a shared room without a named companion, we may allocate another retreat guest to that room. Any arrangement involving sharing with a member of the retreat team will be explained before you book.

Please contact us before booking if you have accessibility requirements. We will discuss the accommodation, terrain and activities with you so that you can assess whether the retreat is suitable.

5. Travel and insurance

You are responsible for arranging any travel that is not included in your booking and for holding the necessary passport, visas and other travel documents.

We will provide relevant general information about entry requirements before booking. You should also check the requirements that apply to your nationality and circumstances.

We strongly recommend travel insurance from the time you book. Your cover should be suitable for your destination and planned activities, including cancellation, medical treatment and repatriation. Tell your insurer about any relevant medical conditions.

Insurance does not replace or restrict your rights against us.

If independently arranged travel is delayed or cancelled, contact us as soon as possible. Any refund entitlement will depend on the circumstances and your statutory rights.

6. If you cancel

You may cancel your booking before the retreat starts by emailing hello@theholisticwarehouse.com.

We may deduct a reasonable and justifiable cancellation charge. This will reflect the retreat price, less costs we save and income recovered through reselling your place or otherwise using the booked services.

We will explain the calculation on request. A deposit is not automatically forfeited simply because it is described as a deposit.

We will refund any balance due without undue delay and within 14 days of cancellation.

Where the Package Travel and Linked Travel Arrangements Regulations 2018 apply, you may cancel without a cancellation charge if unavoidable and extraordinary circumstances at the destination or nearby significantly affect the retreat or travel to the destination. In those circumstances, you are entitled to a full refund, but not additional compensation under that cancellation right.

Personal illness, a change of plans or difficulty travelling does not automatically qualify for cancellation without a charge. Your insurance may provide cover.

7. Transferring your booking

You may transfer your booking to another person who meets the retreat’s participation requirements by giving us reasonable notice in writing.

Notice received at least seven days before the retreat starts will be treated as reasonable. We will consider shorter notice where practicable.

We will explain and provide evidence of any actual transfer costs. These will not exceed the costs we incur and will not be unreasonable.

You and the replacement guest are jointly responsible for paying the transfer costs.

8. Changes or cancellation by us

We may make minor changes to the programme where necessary, including adjustments to timings or the order of activities. We will notify you clearly and will not use this provision to make a significant change to your booking.

If a significant change becomes necessary before departure, we will explain it in writing, together with your options and a reasonable deadline for responding. Where applicable, you may accept the change or cancel without a cancellation charge.

If we cancel your retreat, we will refund the payments made for it within 14 days. Any additional rights to compensation remain unaffected.

If a retreat requires a minimum number of guests, we will state that number and the cancellation deadline before you book. Any cancellation for insufficient bookings will comply with the applicable legal notice period.

Unavoidable and extraordinary circumstances may affect our ability to run a retreat. They do not automatically remove your rights to a refund or other remedies.

9. Health and participation

Our retreats offer movement and wellbeing activities. They do not provide medical treatment or replace professional medical advice.

Please tell us about any relevant injury, health condition, allergy or accessibility requirement that could affect your participation or the arrangements you need. Share only information relevant to those arrangements.

If you are unsure whether an activity is suitable, seek advice from an appropriate healthcare professional before taking part.

Participation is voluntary. Please work within your abilities, follow reasonable safety instructions and stop if you feel unwell or experience pain.

We may adapt an activity or ask you not to participate where there is a reasonable safety concern. We will discuss suitable alternatives where possible. This does not remove our responsibility to provide services with reasonable care and skill.

We handle relevant health and accessibility information as explained in our Privacy Policy. Where required, we will ask for separate explicit consent to use or share sensitive information.

10. Food and dietary requirements

Please tell us about allergies and dietary requirements before booking, or as soon as they become known.

We will confirm any requirements we can accommodate. Do not assume that a dietary request has been accepted until we confirm it.

Food may be prepared in shared kitchens. We cannot guarantee an environment free from every allergen. Please discuss severe allergies with us before booking so that we can assess suitable arrangements.

11. Conduct and accommodation

Please treat other guests, staff, local communities and the accommodation with respect.

You must follow reasonable safety instructions and the accommodation rules supplied to you.

We may restrict participation or end a guest’s stay where serious or repeated behaviour puts others at risk or substantially disrupts the retreat. Where appropriate, we will explain the concern and give the guest an opportunity to address it.

Any charge for damage must reflect an evidenced, reasonable loss for which you are responsible. Any decision about refunds or additional costs will take account of the circumstances and applicable law.

12. Our responsibility and your rights

We are responsible for providing the services we agree to supply with reasonable care and skill.

Where your booking is a package under the Package Travel and Linked Travel Arrangements Regulations 2018, we are responsible for the proper performance of the included services, including services delivered by our suppliers.

Please report problems promptly so that we have an opportunity to put them right. Where services are not provided as agreed, you may be entitled to remedies including an appropriate price reduction, compensation or termination of the booking.

Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability that cannot legally be excluded.

Your statutory consumer rights remain unaffected.

13. Privacy, photography and cookies

Our Privacy Policy explains how Once upon a Peacock Ltd. collects, uses, stores and shares personal information, including relevant health, dietary and emergency contact details.

We will ask for separate permission before using identifiable photographs or videos of you for promotional purposes. Agreeing to these terms does not provide that permission. You can decline without affecting your participation in a retreat.

Our website is hosted by Squarespace and uses its cookie banner and preference settings. You can manage optional cookies through the website’s Manage Cookies control.

We use Google Analytics to understand website use and Google Search Console to understand our performance in Google Search. Further details are provided in our Privacy Policy.

Optional marketing, analytics and photography consent are not required to attend a retreat.

14. Help and complaints

If you need assistance or have a concern during your retreat, please contact a member of the retreat team as soon as possible. We will provide the relevant on-retreat contact details before departure.

We will provide appropriate assistance if you encounter difficulties, in accordance with our legal obligations.

For complaints before or after your retreat, email hello@theholisticwarehouse.com with your booking details and a description of the issue.

We will acknowledge your complaint promptly and aim to resolve it within a reasonable period. If we need further information or more time, we will explain why and keep you informed.

Where applicable, we will provide information about relevant alternative dispute resolution arrangements.

15. Applicable law and updates

These terms are governed by Scots law, subject to any mandatory consumer protections that apply where you live. This does not restrict your right to bring proceedings in another court where the law permits.

We may update these terms for future bookings. The version supplied when your booking was made will apply unless a change is agreed with you or required by law.
